The AI Catalog helps you build and reuse structured note components across templates. It includes reusable AI Fields and Template Blocks that can be inserted into templates, saved for later use, and updated across the templates that use them.
Open the AI Catalog
To open the AI Catalog:
- Go to the Visit List.
- Click Templates.
- Click AI Catalog.
The catalog separates reusable content into tabs:
- AI Fields - saved fields that can be inserted into templates.
- Template Blocks - saved groups of text and AI Fields that can be inserted into templates.
Use the catalog to find saved AI Fields and Template Blocks, edit them, delete them, or create new ones.
What Is an AI Field?
An AI Field is a fillable part of a structured template. When Scribe generates a note, the AI uses the field’s name, description, options, and default value to determine what content to add to that part of the note.
Use AI Fields for specific pieces of AI-generated content, such as:
- Medical History Update
- Chief Complaint
- Treatment Plan
What Is a Template Block?
A Template Block is a reusable group of template content. A block can include regular template text and one or more AI Fields.
Use Template Blocks for sections that you want to reuse across multiple templates, such as:
- Intake form and checkout
- Anesthesia and procedure details
- Caries assessment
Edit catalog items
Catalog AI Fields and Template Blocks are read-only inside templates. This protects the shared catalog version from accidental changes.
To change a catalog item, open it from the AI Catalog and edit it there. If the item is used in templates, Scribe will ask how the update should be applied:
- Update all templates - all templates using the item will use the updated version.
- Update selected templates - only selected templates will use the updated version; the remaining templates will keep the previous version.
- Create a new item - saves the changes as a new catalog AI Field or Template Block without changing existing templates.
Use catalog items in the template
Catalog items can be added to structured templates from the template editor.
To use a catalog item in a template:
- Open the template you want to edit.
- Click Add from Catalog.
- Choose the AI Fields or Template Blocks tab.
- Select the item you want to add.
- Insert it into the template.
Save items to the catalog from the template
You can save reusable content to the AI Catalog while editing a structured template.
Saving an AI Field
- Create an AI Field, then click Save to Catalog.
Saving a Template Block
- Create a Template Block, then click Save to Catalog.
- Select a subsection of the template, then click Convert to Template Block to turn that content into a reusable Template Block. Then click Save to Catalog.
After an item is saved to the catalog, it becomes available from Add from Catalog and can be reused in other templates.
Local vs. catalog items
If you don’t want a template to keep using a shared catalog item, make a local copy. The local AI Field or Template Block becomes independent and won’t receive future catalog updates.
| Local | Catalog | |
|---|---|---|
| Where it is used | Only in the current template | Can be reused across templates |
| Color in the editor | Green | Blue |
| Editing | Editable directly in the template | Edited from the AI Catalog |
| Updates | Does not affect other templates | Can be propagated to templates that use it |
| Best for | Template-specific wording or one-off fields | Reusable fields and blocks that should stay consistent |
